First step: a free conversation

Tell us what you want to improve and we will get in touch to arrange a time. During a free 30–45-minute online conversation, we discuss the problem, workload and tools you use. You do not need a specification or a ready-made solution idea.

After the conversation, we suggest a possible direction:

  • The required work is clear. After checking examples and system capabilities, we prepare an implementation proposal.
  • The problem or technical possibilities need investigation. We propose paid analysis with an agreed scope and price.
  • A simpler change will do. We suggest a feature, tool or working method to consider.

What do we agree before the project starts?

The proposal and contract define what we will deliver, what it costs and how we will know it works as agreed. We also agree the delivery date, required data, input from your staff and payment schedule.

The project has one lead who knows the arrangements and coordinates the engagement. We discuss new requirements before carrying out additional work, explaining their effect on scope, price and timing.

How does automation implementation work?

  1. Understand the starting point. We work through sample cases, documents and system capabilities. We agree which data to compare before and after implementation, such as handling time, case volumes and corrections.
  2. Build and test. We check typical cases, missing data, errors and situations requiring a member of staff to decide.
  3. Launch with a limited scope. Initially, the solution handles selected documents or cases. We assess results and make any necessary fixes.
  4. Hand over to your team. We show users how to use it and what to do if a problem occurs. We prepare instructions and assess results against the agreed criteria.

We use features in your existing software, ready-made products, integrations or our own software. We use AI where it helps achieve the agreed goal.

How do we handle data and keep results under control?

Before connecting systems, we agree who can access the data and where it is processed and stored. If we use AI, we also check the model provider’s terms, including whether data may be used for training. We sign a confidentiality agreement before documents are shared; samples can be anonymised.

AI can extract a document or prepare a draft. At agreed points in the process, a member of staff checks the result and makes the decision. Unclear cases are referred for clarification. Any automatic handling of selected cases is agreed separately based on test results.

Indicative prices for analysis, automation and maintenance

We agree the exact price and scope before each stage starts. Implementation ranges apply to agreed automations, such as preparing order data in a file or creating a draft order or quotation in an ERP.

Analysis includes a process map, an assessment of benefits and costs, and a plan for changes. Implementation covers the agreed improvement, testing and preparing users. Maintenance ranges depend on the solution, support requirements and work allowance.

Private AI, custom software and standalone integrations are quoted individually. AI model, infrastructure and licence costs are shown separately.

If you commission implementation within 30 days of the analysis, we deduct the full analysis price from the implementation price. Analysis has value on its own, and you can end the engagement at that stage.

We usually plan automation implementation over 4–8 weeks. Your project’s timing is set out in the proposal, taking account of scope, systems and data availability.

What happens after implementation?

At handover, we agree who will maintain the solution and what documentation they need. You can entrust support to your own team, another provider or us.

Our optional support includes agreed operational monitoring, updates, handling problem reports, performance reporting and an allowance for minor changes. We also help new users work with the solution. Quarterly process reviews help you choose further improvements. We plan and quote for new feature development separately or within an agreed work allowance.

Frequently asked questions

Is paid process analysis necessary before implementation?

No. If the scope is clear after the free conversation and reviewing examples, we prepare an implementation proposal. Paid analysis helps when we need to understand the causes of a problem, compare solutions or check system capabilities. We agree its scope and price separately.

Can I start with one process?

Yes. The first project can cover one task, a group of documents or a subset of customers. We choose a scope that lets us check the solution's usefulness. A broader analysis helps set priorities; implementation can cover just the first selected improvement.

How long do analysis and automation implementation take?

Analysing one process usually takes 2–3 weeks, while reviewing 2–3 related processes takes 3–5 weeks. We usually plan automation implementation over 4–8 weeks. Timing depends on scope, systems, data and the availability of people to agree details. We set it out in the proposal; other project types have their own schedules.

How are the project and additional work billed?

In stages: an advance payment before work starts, with the balance payable when the stage is accepted. We record the scope, price, acceptance criteria and payment schedule in the contract. We discuss and quote for new requirements before carrying out additional work.

Is a subscription after implementation compulsory?

No. You can commission implementation on its own. Before handover, we agree who will maintain the solution and what documentation they will receive. If you choose our support, we agree its scope, work allowance and support arrangements.

What does my business need to provide?

We need a contact person to agree details, input from staff who know the process, and sample data and documents. Depending on the project, we may need system access or support from whoever manages it. We agree this before work starts.
