When does local AI make sense for your company?
Private AI is worth considering when you want to use company information and your processing requirements rule out an external AI service. This might involve technical documentation, commercial terms, price lists or know-how.
We start with the task: what the solution should do, who will use it and which data it needs to access. Then we select the model and where it will run.
If processing by an external provider is acceptable, we also compare a business AI cloud service. The choice depends on data requirements, the solution’s usefulness and its total cost of use.
Offline AI, company server or private hosting?
These are three different deployment options. For each, we define where data resides and who can access it.

Private hosting can be used for a test before buying your own hardware, if this form of processing is acceptable to you.
What can AI on a company server do?
A local model can support specific tasks for your team:
- Find information in documents. An employee asks about a procedure or contract terms, and the solution prepares an answer citing source passages. See AI on company data.
- Extract data from orders. Information from documents goes into a draft for an employee to check. Read more about order automation.
- Organise correspondence. Using the messages provided, the solution identifies the subject and prepares a proposed response for approval.
- Help with ERP data. The model understands the question and writes an answer based on data retrieved through the integration. The database or application performs calculations.
We choose one task to start with. We test it using real examples before proposing a wider implementation. Important decisions, technical selection and document approval remain with your team.
How does the offline AI option work?
In this option, the entire flow runs on the company network: from document reading and information retrieval to answer generation. Authentication, data storage and backups also run locally.
We check the solution components’ external connections, block internet access for the AI environment and test operation with the connection disconnected. We deliver model and software updates in a controlled way.
An ERP on the same network can work with local AI. Data from external services, such as cloud email or KSeF, Poland’s National e-Invoicing System, requires a separate transfer into the offline environment. We describe how this exchange works before implementation.
How do we select a local AI model and hardware?
Using a sample of documents and your team’s questions, we compare selected models. We assess answer quality in Polish, speed and the effort needed to check the result. We also verify the licence, model origin and technical requirements.
We then select hardware, taking into account simultaneous users, document length and expected response time. If a new server is needed, you receive a specification for purchase. Your company purchases the hardware.
What do implementation and pricing involve?
During a free conversation, we discuss the task and data requirements. With a clear scope, we prepare a proposal. If the model, hardware or integration needs checking, we suggest a separately priced test or feasibility analysis.
We then prepare the environment and launch the selected task for a small group of users. We check answer quality, speed and each user’s access to the right data. Your team receives instructions and rules for verifying answers.
The price covers a specific scope. We show implementation, hardware or hosting, licence and maintenance costs separately. We compare the full cost with the benefit of the improvement before proposing an expansion.
After launch, we can provide support. Its scope covers the update method, monitoring, backups and handling reported issues. A fully offline solution requires on-site service or help from a technical person at your company. Further development is priced separately.
